This Privacy Policy is effective as of October 19, 2026 and applies to all users of the ExteriorPro platform.

We do not sell, trade, or rent your personal information to third parties. The only information sharing that occurs is:

  • When required by law or legal process
  • To protect our rights, property, or safety
  • With service providers who assist in operating our platform (under strict confidentiality agreements)

Service Providers We Use

  • Stripe - Payment processing for subscriptions and invoices
  • Google Analytics - Website usage analytics to improve our service
  • Amazon Web Services (AWS) - Email delivery services
  • Cloudflare - File storage for uploaded documents and images
  • Telnyx - Text message delivery
  • Anthropic - Artificial intelligence for the features described under "AI Features" below

AI Features

Some features use artificial intelligence provided by Anthropic. When you use one, we send Anthropic only what that feature needs:

  • The chat on our website: the messages you type into it.
  • The in-app help, when you choose Ask AI: your question, your role in your company's account, and the page you asked it from. It is never sent your customers' records. Searching the help sends nothing.
  • Reading a measurement report: the report's text, so its figures can be filled in for you to check. The property's address and the names of the people on the job are taken out first, and the report file itself is never sent.
  • Importing a price sheet: the sheet's column headings and some of its rows, and the names of items in your price book, so we can suggest which column is which and which items match.

Before anything is sent, phone numbers, email addresses and card numbers are removed from it. Anthropic processes what it receives to return a result to us. Under our agreement with Anthropic, it is not used to train their models. We keep a record of website chat and in-app help conversations so we can see what people ask and improve the answers. Answers and suggestions produced by AI can be wrong; see our Terms of Service.

Text Messages

If you opt in to text messages from ExteriorPro, we use your mobile number only to send the messages you asked for. We do not share mobile numbers, or text message opt-in data and consent, with third parties or affiliates for marketing or promotional purposes. Message and data rates may apply, and message frequency varies. Reply HELP for help or STOP to opt out at any time. How to opt in and what we send are described on our text alerts page.

QuickBooks Online

If an owner or admin connects your company's QuickBooks Online account (provided by Intuit), we use that connection only to put your records into your books:

  • What we send to QuickBooks: the billing contact on a job (name, company, email, phone and billing address) as a customer, each invoice once it's sent, and each payment you record. Voiding an invoice or deleting a payment here does the same in QuickBooks. Only records from the day you connect onward are sent.
  • What we read from QuickBooks: your company name, your list of products and services and of deposit accounts (so you can choose where invoices and payments go), and whether a customer with the same name already exists (so we don't create a duplicate). We don't import anything else, and we don't change anything in QuickBooks except the records we created.
  • How the connection is kept: the access keys Intuit gives us are encrypted in our database, never shown to anyone, and used for nothing but the above. We don't sell or share QuickBooks data with anyone.
  • Disconnecting: an owner or admin can disconnect at any time from Integrations, or from inside QuickBooks. When you do, we revoke the connection with Intuit and delete the keys. The records already in your QuickBooks company are yours and stay there.

4. Data Security

We implement appropriate technical measures to protect your personal information, including:

  • Password hashing (your password is never stored in plain text)
  • Secure HTTPS connections for all data transmission
  • Database security and access controls
  • Regular security updates and monitoring
